Support the Office and Manager(s) to efficiently manage the office environment:

Manage the meeting room booking system, and act as facilitator (room set up and refreshments etc. as required) Answering the office phone and answering queries Acting as the initial point of contact for visitors to Visit Kent; meet and welcome visitors from reception Open the post, handle mail and manage the office pigeon hole system Assist with ordering of stationery, cleaning and kitchen supplies as required and maintaining stock levels Manage rota systems for kitchen duties Communication with suppliers and landlords as required Assist in the mailouts to investors/members Assist with research Ad hoc duties, as required Support the Executive Assistant and Diary Secretary: Assist with diary and calendar maintenance, when the DS is on leave Assist in the collation of board papers Produce and circulate meeting minutes Prepare and circulate documents for meetings and events (agendas, guest lists, etc.) Ad hoc duties, as required Assisting in a range of finance and bookkeeping duties: Receive, date and stamp invoices. Issue to budget holder for authorisation and coding. Monitor Purchase Order (PO) system, ensuring that Invoices are matched to POs, numbered sequentially and receipted correctly Raise and issue invoices to customers, clients and investors in conjunction with the Finance Co-ordinator Manage CEO expense claims; calculate mileage, match receipts and add accounting code Data input into the SAGE accounting system Reconcile External Recharges Collate and record staff time sheets Maintain an orderly accounting filing system Ad hoc duties as required In conjunction with the Office and HR Co-ordinator: Manage staff holiday entitlement and logging system Act as point of contact for staff for HR queries, by being familiar with HR policies and staff handbook Ad hoc duties, as required Assist with event planning and implementation Support Visit Kent colleagues, including the Marketing team and with various duties in times of high team work load
