Office Administrator Job Summary

We are looking for a reliable, competent, efficient individual to join our growing architectural practice based near Ashford.  In this position, you will support the director and manage a variety of administrative tasks.  You will maintain a positive and friendly company image by acting as the first line of contact to clients in person, online, and via telephone.

Office Administrator Job Duties and Responsibilities:

Monitor incoming and outgoing mail; receive and sign for mail/packages from couriers

Answer phone calls and transfer them as necessary

Prepare correspondence, documentation, or presentation materials

Draft, format, print  and collate relevant documents

Photocopy and file appropriate documents as needed

Create agendas and take meeting notes

Support with planning and other relevant applications and liaise with Local Authorities

Assist with book-keeping/invoicing

Arrange meetings by scheduling appropriate meeting times and planning refreshments

Maintain accurate records for employee holiday requests

Arrange workshops and conferences for the purpose of Continued Professional Development

Support with updating website functions and social media profiles

Assist with travel arrangements for office staff and managers

Monitor and maintain office equipment; inventory supplies and order replacement supplies as needed

Create, update, and maintain personnel records, financial records, and other records/data

Organise special functions and social events


Office Administrator Skills and Qualifications:

Minimum of 3 years administrative experience as an office administrator, office assistant or other relevant role ideally in a related field.

Proficient computer skills, including Microsoft Office Suite (Word, Outlook, PowerPoint, and Excel); scheduling appointments/updating calendars essential

Highly organised multitasker who works well in a fast-paced environment

Willingness to learn and to grow with the company

Excellent written and verbal communication skills

Ability to Work Without Supervision

Exceptional Communication and Customer Service Skills

Ability to Handle Confidential Information
