Job Description: Smiths Medical in Ashford is seeking an Order Administrator with French language to join the company on a permanent basis. The role will cover the entire French speaking region from Europe. The role will interface with many business functions at multiple levels and will be responsible for providing professional and effective services to internal and external customers in order to achieve their satisfaction. We are looking for an individual who has ability to work with numerous data tools and databases and ensure smooth flow of customers' purchase orders through the Order life cycle. Duties and Responsibilities: To ensure that customers' purchase orders are correctly processed in Oracle accordingly to Global dating and order entry policies; To manage any EDI corrections, errors and data entry requirements to ensure smooth flow of customers' purchase orders through the Order life cycle; To maintain and correct customer master data in accordance with global master data and naming conventions as required; To monitor and report on order entry errors and compile order statistics; Coordination with operations to streamline delivery and availability information; To ensure that customers' purchase orders are entered cleanly into Oracle on a daily basis in accordance with agreed global deadlines and procedures; To ensure that any freight fees, administration or minimum order fees, if applicable are applied in accordance with global order entry policy; To maintain and correct customer master data in accordance with global master data and naming conventions as required; To compile and organise data through the use of appropriate databases and data dictionaries; To clean and audit data, ensuring accuracy and integrity of that data when generating metrics and reports; To suggest process improvements to the order life cycle to the benefit of the customer and Smiths Medical; Management of and generation of credit notes and rebates in accordance with global policy; This position is required to assure compliance of the data to all applicable laws, regulations and standards, good business practices and company documented procedures (including but not limited to FDA, Quality System Regulations, ISO 13485, ISO 14001, government occupational health and environmental regulations and statutes; This position is required to assure compliance of Company operations to all applicable laws, regulations and standards, good business practices and company documented procedures (including knowledge of all standards, government occupational health and environmental regulations and statutes related to the site); Engage others, promote, and participate in Environmental, Health, and Safety initiatives, focusing on continuous improvement. Required skills and experience: Secondary level education/high school; Advanced knowledge of French and English language is essential; Advanced knowledge of Excel; Oracle and EDI knowledge would be beneficial; Ability to work with multiple data tools and databases; Ability to make decisions to support local markets, collecting data and to implement appropriate and relevant metrics and KPI's; Problem solving skills; Customer orientation competency; Attention to details and Accuracy; Ability to plan own workload and manage deadlines; Effective communication skills; Flexibility and creativity.
