Office Manager & Data Administrator
(Full Time, Permanent)

YachtBuyer is seeking a highly motivated, forward thinking and innovative full time Office Manager & Data Administrator to join their growing vibrant team. This is an exciting, unique position for an individual who is prepared to take ownership of all office and data administration within a fast-paced business. The ideal candidate will be comfortable working independently, taking the lead in all aspects of their role.
Key Office Management Duties include:

Management of diary, emails and contacts list.

Producing company presentations
-
Booking, budget management and execution of all travel itineraries including flights, taxis, accommodation, conferences and restaurants.

Management of expenses, mileage, mobile phone, iPad, etc.

Act as front of house: greeting guests in a positive and enthusiastic manner, offering drinks. Preparing and clearing the meeting room. Liaising with clients and client representatives in a pleasant and professional manner.

Answering the phone: High level phone manner and ensuring messages are passed onto the team.

Making sure that the office is tidy and presentable. Prompt the team to maintain tidiness, clear desk policy and other processes.

Checking stock and ordering office supplies

Organising social events for the team such as office parties, leaving drinks etc.
Key Data Duties include:

Data entry in online product catalogue

Uploading and tagging documents and photos

Cross-referencing data sources
Skills required:

Proactive self-starter: work on own initiative

Maintain confidentiality and utmost discretion.

Positive and flexible. Proficient in multi-tasking and prioritising ever changing workload

Completing tasks to a high standard and to tight deadlines.

Polite and appropriate manner in liaising with UHNWI and contacts of all levels both in person and on the telephone.

Diligent, with great attention to detail

Strong skills in negotiation to secure the best value for the company

Strong IT skills; fully competent with all Microsoft Office packages

Confident to present and explain ideas.

Ability to encourage staff to implement policies via positive people management
