Job Description
Job Title: Parish & Booking Administrator
Location: Church House, Kent Gardens, Birchington, Kent, CT7 9RS.
Working Hours: 15 hours per week worked over five days.
Reports to: The Parish & Booking Administrator is employed by the Parochial Church Council (PCC). A designated Churchwarden will have line management responsibilities for this post.
Salary: £8,127.60pa (£18,964 FTE). Annual pay rises are in line with those awarded by the Diocese of Canterbury.
Tenure: This post will be subject to a 12 month contract initially and subject to review.
The Role and Job Description
The Parish & Booking Administrator plays a key role managing the church office and church halls of this parish; you will work closely with the Priest-in-Charge, the churchwardens, Parish Safeguarding Officer and Treasurer. You will also come into contact with the Director of Music, Verger and other ministers in your role.
The Parish & Booking Administrator is responsible for managing the Parish Office in conjunction with the designated Churchwarden who will be the line manager to this post. Our church halls - Church House and Kearns Hall are hired by a variety of users, including local groups and charities.
About The Parish
All Saints, Birchington is a single parish currently comprising three churches in different settings. St Mildred’s, the smallest of the three, is in Acol. It is very much a country church with traditional harvest festivals and celebrations. All Saints Church, Birchington, is an ancient building located in The Square near the roundabout. Many
community and parish events are held here and in Church House.
St Thomas Church is located at Minnis Bay and is the most modern dating from 1932. Kearns Hall is behind the church and is used by the local community and the church.
The Parish Office is located in Church House, Birchington which also includes a meeting room and hall.
Key Responsibilities
Church Administration
Designing and producing weekly notice sheets, occasional orders of service, posters and leaflets to promote church activities.
Recording bookings for, and managing the administrative aspects of baptisms, weddings, funerals and other occasional services, and liaising with ministers, verger, Director of Music/organist, bellringing coordinator and flower arrangers where appropriate.
Updating and maintaining of church registers.
Providing Administrative support, including where required diary management [paper] to the Priest-in-Charge and Churchwardens.
Assisting the Priest-in-Charge and Churchwarden(s) with the preparation of minister and volunteer rotas and distribute to key personnel.
Managing a simple filing system in the Parish Office.
Monitoring the use of the photocopier by external agencies, groups and individuals and informing the Treasurer.
Being the first point of contact for enquiries from the general public (face-to- face, phone, and email).
Maintaining office stationery and equipment and maintaining stock levels and arranging the servicing of office equipment where necessary.
Ordering supplies including Church requisites.
Premises management
Dealing with all bookings for Church House and Kearns Hall updating the diary with details of room hires.
Liaising with the Treasurer regarding invoices and payments.
Dealing with regular maintenance personnel and liaising with contractors in conjunction with the Churchwarden(s).
Being the first point of contact for any concerns by hirers during working hours.
Liaising with hirers for the collection and return of Church Hall and Church keys.
Ensuring the security of the premises (particularly the issuing of keys).
Person Specification
Essential
A sensitive manner in dealing with members of the public, and in fostering good relationships with Church, Deanery and Diocesan officers, ministers, hirers, other regular contacts and volunteers.
Previous administrative experience.
Excellent IT skills including Microsoft Word and Excel including use of email.
Clear understanding of the principles of an efficiently run small office.
Ability to work with minimal supervision and the ability to handle multiple tasks, prioritise work and to work to deadlines.
Reliability and discretion in dealing with confidential or sensitive matters.
Sympathy with the aims of the Church of England, and ideally some familiarity with the Church & structures or willingness to learn.
Right to Work in the United Kingdom.
Desirable
Knowledge of General Data Protection Regulation (GDPR)
Annual Leave: You will be entitled to 84 hours 15 minutes per year inclusive of bank holidays.

Probationary Period: The appointment is subject to confirmation after a 3-month probationary period.
