Job Title: Production Administrator (DAY SHIFT)
Reports To: Stock Supervisor

Role Summary:
We are looking for a Production Administrator to provide comprehensive administrative support to our production and stock control functions. This role ensures that all processes and documentation are accurate, complete, and delivered in a timely manner to keep the site running efficiently. You will manage the organisation, distribution, and closure of all production Works Orders within the same shift.

Main Responsibilities:

  • Accurately manage production-related paperwork across all production lines, including stock movement documentation.

  • Work closely with the Shift Support Supervisor to ensure stock orders and production plans are communicated and executed efficiently.

  • Liaise with the ISS Sales team and Planning & Performance Analyst to ensure orders are correctly captured, jobs are set up on the appropriate lines, and production aligns with the plan.

  • Provide regular Plan Status updates to Production Management.

  • Manage the “Production Quality Alert” process to communicate quality issues internally and with customers.

  • Review and reconcile work order stock information to improve stock accuracy, ensuring all Works Orders are closed by the end of each shift.

  • Collaborate with colleagues daily on stock matters, work orders, and discrepancies to enable real-time decision-making.

  • Ensure all products are used for the allocated order, scanned correctly, and end stock and out grades are accurately recorded.

  • Review and reconcile ERP system documentation, investigating and resolving discrepancies.

  • Support the Supervisor in stock investigations, reconciliations, and traceability exercises.

  • Assist the Stock Checker by printing stock sheets and raising queries when needed.

  • Manage daily order changes and job paperwork efficiently and accurately.

  • Understand stock allocation and mass balance to maintain stock accuracy and minimize errors.

  • Support the Production team in resolving stock issues as they arise.

  • Perform general ad-hoc administrative duties as directed by the Production Management Team.

  • Ensure all practices comply with Company Policy and Health & Safety guidelines.

Qualifications and Skills:

  • Excellent written and spoken English and Maths (GCSE level or equivalent).

  • Previous experience in a busy office or administrative environment.

  • Proficient in Microsoft Office (Word and Excel); training will be provided for in-house systems.

  • Flexible, thorough, and highly attentive to detail.

  • Ability to follow instructions and meet deadlines under pressure.

  • Organised and methodical in approach to work.

  • Knowledge of accurate administrative processes and procedures.

  • Ability to make confident and effective decisions when required.
