Job Description

Job Title: Warehouse Administrator
Reports To: Warehouse Supervisor

Role Summary:
We are seeking a detail-oriented Warehouse Administrator to support a busy warehouse team with systems, order processing, and general administrative tasks. The role ensures that all dispatches are accurate, timely, and well-documented, helping to maintain high customer satisfaction.

Main Responsibilities:

  • Generate and print accurate shipping labels and documentation for all dispatched goods.

  • Prepare loading manifests and delivery notes for outbound orders.

  • Ensure proof of delivery is obtained and filed correctly for each shipment.

  • Work closely with warehouse operatives to ensure orders are picked accurately according to customer requirements.

  • Ensure loads are correctly set up in the system and orders are assigned to the correct load numbers.

  • Generate Advance Shipping Notices (ASNs) and resolve any errors promptly.

  • Double-check customer order details before dispatch.

  • Liaise with the customer service team to resolve any issues related to orders or deliveries.

  • Ensure all orders are dispatched within required timeframes.

  • Respond to customer queries regarding dispatch status, delivery schedules, or product availability.

  • Send dispatch confirmation emails to customers with delivery details.

  • Create and update sales orders for Class 2 wholesale accounts.

  • Manage all aspects of market picking and ensure pallets are labelled correctly with product information, handling instructions, and addresses.

  • Check all wholesale orders for accuracy and quality before dispatch.

  • Maintain accurate records of all dispatched goods, including tracking information, quantities, and shipping methods.

  • Produce daily Class 2 stock availability reports.

  • Investigate and resolve issues related to wholesale delivery delays or missed deliveries to ensure customer satisfaction.

Qualifications and Skills:

  • Excellent communication skills and high level of English.

  • Strong IT skills, including Microsoft Word and Excel.

  • Knowledge of Prophet or similar ERP systems is preferable.

  • Good understanding of Maths.

  • Previous warehouse experience is desirable.

  • Strong organisational and problem-solving skills.

  • Positive “can-do” attitude and ability to work under pressure.
